Invite members and manage roles
On this page
Account admins invite people and manage their roles in Settings > Members. Everyone on the account can see Agent members, the AI agents that act on your account from outside MetadataONE.
Members
Members appears under Administration in Settings for account admins only.
Invite someone
- Open the account menu (your account name at the bottom of the left rail) and click Settings.
- Click Members.
- Under Invite someone to this account, enter the Email address. First name (optional) and Last name (optional) are optional.
- Pick a Role. The list shows the roles your account can assign, and the text under it describes the selected role. It starts on a non-admin role.
- Click Send invitation.
The invitation opens MetadataONE and adds the person to this account only. They choose their own password when they accept. Until then, their row reads Invitation not accepted. Someone who started signing up but didn't finish reads Signup not finished.
Manage a member
Each row shows the person's status and role. Hover over an icon to see what it does.
| To | Do this |
|---|---|
| Change a role | Pick a new role in the row's role list. The change saves right away. To change the role on a pending invitation, cancel it and send a new one. |
| Resend an invitation | Click the send icon. A pending invitation is sent again; a member who has already joined gets a fresh sign-in link. |
| Cancel an invitation | Click the trash icon on the invitation's row. |
| Remove a member | Click the trash icon. The member is deactivated, loses access, and stays on the list as Deactivated. |
| Reactivate a member | Click the undo icon on a deactivated member's row. |
Row actions run as soon as you click; there's no confirmation step. Click Refresh to reload the list.
Roles also limit the AI team
Your AI team works with the permissions of the member who is chatting. It can't do anything for you that your role doesn't allow, and it checks again if your role changes during a chat.
A member whose role can only read can still chat. They can:
- Ask about performance, search the web, and look up creatives.
- Get reports, dashboards and exports, if their role includes reporting access.
They can't rename, star or delete chats, answer the team's questions or approvals, or buy credits. For them, the team can't make campaign plans, creatives, videos or landing pages, change memories, build custom reports, or fill in the audience builder. To let someone build with the team, give them a role that can make changes.
Agent members
An AI agent can register itself with your account using a business email on your domain. It gets one Client credential and creates members for itself. Settings > Agent members shows the credential, each agent member, whether it has a token, and what its calls have cost in credits recently. A Read-only pill marks an agent that can only read.
Account admins can switch agents off. Each action asks you to confirm first.
| Action | What happens |
|---|---|
| Revoke member (trash icon) | The agent member loses its access and token for good. The agent can create a new member with its credential. |
| Revoke token (key icon) | Every request the agent makes as that member stops working. The member stays, and the agent can get a new token. |
| Rotate secret | The current client secret stops working at once. The new one is emailed to the person who registered the agent and is never shown in MetadataONE. The agent can't create members until it has the new secret. |
If the credential shows Registration never confirmed, the person who registered it didn't finish signing up in time. The credential is blocked, and a new registration on your domain starts over.
